What makes a good email signature
Your signature appears at the bottom of every message you send, so it works as a small business card. It should tell people who you are and how to reach you, and nothing more. A clean signature looks professional, while a crowded one with several banners, quotes and long legal text is harder to read and is often ignored.
What to include
- Name and job title: so the reader knows who is writing and in what role.
- Company and website: a clickable link back to your site.
- One or two ways to contact you: a phone number and an email address are usually enough.
- Social links, if they matter for your work: choose the one or two you actually use for business.
- A short tagline: optional, and best kept to one line.
Keep it reliable across email apps
- Host your image online. Photos and logos must have a public https:// address, otherwise recipients will not see them.
- Do not put key information inside an image. Many email apps block images by default, and screen readers cannot read text inside pictures. Keep your name and contact details as real text.
- Stay narrow. A signature under about 600 pixels wide fits on phones without scrolling.
- Use readable colours. Check your accent colour against white with our colour contrast checker so links stay easy to read.
How to install your signature
- Fill in your details and choose a template. Check the preview.
- Click Copy signature. This copies the formatted signature, not the code.
- Open the signature settings in your email app and create a new signature.
- Paste it into the editor, then save. Send yourself a test email to see how it looks.
The signature settings live in different places in each app. In Gmail they are under Settings, See all settings, General. In Outlook they are under Signatures in the settings or in File, Options, Mail. In Apple Mail they are under Mail, Settings, Signatures. If your app only accepts pasted HTML, use the Copy HTML button instead.
Legal text and disclaimers
Some businesses are required to add legal or confidentiality notices to their emails. If that applies to you, add the required wording after your contact details in a smaller, lighter font, and check the exact text with your company or adviser. This generator does not provide legal wording.
Frequently asked questions
How do I add the signature to Gmail?
Click Copy signature, then in Gmail open Settings, choose See all settings, and go to the General tab. In the Signature section create a new signature, paste, and save the changes at the bottom of the page. Menu names can change slightly over time.
How do I add it to Outlook?
Copy the signature, then open the signature settings. In the new Outlook this is under Settings, Accounts, Signatures. In classic Outlook use File, Options, Mail, Signatures. Create a signature, paste it into the editor and save.
Why does my photo or logo not show for recipients?
Email apps can only show images that are hosted online at a public address. A picture saved on your computer will not display for the people you email. Upload the image to your website or an image host and paste its https:// address into the photo field.
Why are there no social media icons?
Icons would have to be image files hosted online, and many email apps block images until the reader allows them. Text links work everywhere and never show as broken pictures.
Will it look identical in every email app?
The signature uses a table layout with inline styles, which is the most widely supported way to build it. Small differences between apps are normal. For example, desktop Outlook ignores rounded corners on images.
Which font should I choose?
The tool offers common fonts that are installed on most computers and phones. Custom fonts are usually replaced by a default font in the reader's email app, so they are not worth the risk.
Is my information sent to your server?
No. The signature is built entirely in your browser. Your name, phone number and other details are not uploaded or stored by us.
